General Management & Administration
We offer a service to arrange and undertake full general management and administration. Our normal practice is to provide regular updates to all directors and leaseholders together with monthly financial statements. We have listed below a brief outline of our services.
Building Administration & Management of Grounds
We have an in-house property maintenance team of 3 mature and experienced maintenance men. It is our normal practice to inspect all managed apartment blocks on a weekly basis to change light bulbs, undertake minor maintenance works and report any problems to the office.
Our policy is to have the majority of straight forward maintenance works undertaken by our in-house team at competitive rates. We would, however, obtain formal estimates for all works in excess of an agreed figure from reputable outside contractors. There may be occasions when we need to employ specialist surveyors to identify and report as to any specific works that need to be undertaken.
The control of ‘For Sale’ and ‘To Let’ boards will be undertaken during the weekly checks made by our maintenance team.
Financial Administration
Our accounts department would provide to all directors and leaseholders, a monthly statement, showing income and expenditure so that everyone can see where and how ‘their money’ is being spent. This is compiled by detailing all income and expenditure and is reconciled monthly with the bank account.On all of our currently managed properties we have arranged with the leaseholders that their service charge is paid by monthly standing order. This ensures that arrears are minimal and would seem to be appreciated by the lessees as it eases their cash flow.
At the end of the financial year the 12 monthly statements and supporting paperwork are submitted to the accountant for the annual accounts to be prepared. Our current system for securing arrears of service charge and other payments includes a series of letters and personal visits. If this system is exhausted a debt recovery service or solicitor is employed to take proceedings to ensure that the arrears are collected and any costs involved will be the responsibility of the lessees concerned. As a final measure we would contact the lessees building society, bank or mortgage lender advising them that their borrower is in breach of the terms of their lease. The lender would then normally pay any outstanding charges and add it to the borrowers debt.
Legal
We would normally respond to solicitors, banks and building societies enquiries within 3 working days.
Meetings
We would be pleased to schedule, arrange and attend directors meetings and we have a boardroom at our offices in Aylesbury available for this purpose. Agendas would be prepared, minutes would be taken and distributed to the directors within a few working days. We would undertake to advise the chairman when special meetings are required. Our experience shows that quarterly directors meetings are normally adequate because we have regular contact with the directors and leaseholders via our monthly statements and regular updates. We would hold AGM & EGM meetings inviting all the directors and leasehold owners.
Our Directors & Staff
The directors of Featuredraw Ltd trading as Martin Kemp Property Management are Martin Kemp F.N.A.E.A., Robert Sims F.N.A.E.A. and Jane Kemp who have all been with the company since inception.
Jane is the Financial Director and responsible for our accounts department based in Tring. Robert Sims F.N.A.E.A. is Sales and Administration Director and he is based at our Winslow office. Martin Kemp F.N.A.E.A. is the Managing Director of the company and is based principally at our Aylesbury office.
Alison Swift, Financial Administrator with special responsibility for block management, has 2 years experience with MKPM and is a senior member of our accounts team.
Colleen Jones is based in our Aylesbury office with many years service and is responsible for the day to day contact with directors, leaseholders and contractors relating to all block management matters.
The Management Team Deal organises our maintenance team and outside contractors.
Our Company
Martin Kemp Property Services was established in 1985, as a principally sales based organisation. It has since grown from strength to strength and now encompasses a full spectrum of property related services.
The Property Management division of the company was opened in 1989 primarily to provide a residential, commercial lettings and management services. In the mid 1990’s we were invited by existing clients to provide block management services for Russell Court Residents Association Ltd, Russell Court, Old Stoke Road, Aylesbury and this was the beginning of our block management division.
We have since been appointed as managing agents for other apartment blocks i.e. The Limes in Stoke Mandeville, Beechwood Court in Aston Clinton, Chaucer Drive in Aylesbury, Moorhen Court in Watermead, Weston Court in Aston Clinton and Latimer Court, Tring Road in Aylesbury. We currently manage a total of 12 blocks of apartments, we also act on behalf of a number of landlords who own multiple properties for letting and our residential letting division looks after approximately 400 properties. Our sales team are regularly involved in the sale of Poets Chase apartments.
